Overview of the functions of the position

The UNESCO Amman Office is implementing the Projects "Preserving Petra's Nabataean architectural heritage through the study of the Royal Tombs water management system and the conservation of the Palace Tomb" and "Jordanian and Syrian Youth for Heritage Conservation and Risk Prevention in Petra" at the World Heritage Site of Petra, through funding by the Italian Agency for Development Cooperation.

Building on former initiatives for the improved preservation and management of Petra's outstanding heritage, the Projects aim respectively at: ensuring the conservation of one of the most prominent rock-cut façades in Petra by responding to the need of developing local technical skills on heritage conservation (Project 1); further contributing to the management and conservation of the 'Siq' of Petra through the mitigation of landslide hazards at the site and the employment of Jordanian and Syrian youth (Project 2).

The incumbent will be based in Amman and will undertake field visits to the project as needed.

Under the overall authority of the Head of the UNESCO Amman Office, and the direct supervision of the Project Officer responsible for the implementation of the Projects, and in coordination with relevant Administrative and Financial staff, the Assistant Project Officer's duties and responsibilities include, but are not restricted to:

· Provide secretarial, logistic and clerical assistance to the Projects team;

· Assist in the arrangement of activities and meetings, events, trainings (etc.); by copying/distributing material, reserving venues and sending invitations to participants, drafting letters, memos, briefings, presentations and taking notes in internal and external meetings;

· Draft translation of project and sector related documents from Arabic to English and from English to Arabic;

· Draft a variety of materials including correspondence, e-mails, tables and presentations using a different word processing templates and spread sheet software and performing data entry from pre-existing forms as well as assisting in the usage of UNESCO’s own data information systems (e.g. DUO, UNESTEAM);

· Handle the establishment of vendor numbers, contracts, purchase orders and other financial administrative duties for the project teams;

· Coordinate and prepare staff and consultants travel according to UNESCO procedures;

· Take part in the Projects technical and steering committee meetings and prepare minutes that should be shared among the Projects team;

· Take part in the office visibility team meetings and report timely on the initiatives proposed to the Project Officer;

· Prepare on a bi-weekly basis a briefing for the Team on major events/news/information related to initiatives related to UNESCO Culture mandate in Jordan and on the Projects;

· Maintain files and reference systems, and other manual and computerized information and reference systems (e.g.travel forms, narrative and financial reports, mission schedules, payments, logistics, UNESTEAM, share driver, etc.) according to UNESCO regulations and procedures;

· Keep on a regular basis the Projects contact lists up-to-date;

· Perform other duties needed by his/her supervisor, or as assigned by the Head of Office.

Required qualifications

Education

· University degree in the field of public administration or any other related field.

·

Work Experience

· Five years of relevant experience in administrative and program support in the public and private sector.

Skills and competencies

· Computer Skills: able to use Microsoft Office Package (Word, Excel, PowerPoint, etc.); including internet navigation and various office applications;

· Design skills: ability to utilize design programs as Photoshop, InDesign and Illustrator

· Ability to work under pressure;

· Adhere to rules and regulations;

· Strong planning and organizational skills;

· Ability to work accurately;

· Learning and researching.

Languages

· Arabic mother tongue is a must.

· Very good knowledge of written and spoken English is required.

Desirable qualifications

Education

· Degrees in the field of business, accounting, public administration, will be considered an asset.

Work Experience

· Work experience within the United Nations system or in an international environment would be an asset;

· Previous work experience in Petra would be an asset.

Benefits and entitlements

The candidate shall be offered a Service Contract with a gross salary of JOD 18,243.6 per annum (Social Security included).

The initial contract will be for a probationary period of 3 months renewable subject to satisfactory service; and contingent on the availability of funding;

Other benefits include 2.5 days per month annual leave.
