Scope of work:
Projects Officer General (PO Gen) will be dedicated to supporting specific project portfolios with administration, consultant management / support, financial management, invoicing, logistics, coordination, research, copy editing, data visualisation and report design. If required, PO Gen will also contribute a support function to specific country portfolios, such as DRC.
Terms of Reference:
A. Project Delivery Support (70%)
PO Gen will work principally to ensure the smooth running of Integrity’s FOXTAIL portfolio by providing logistical and administrative support to all aspects of the review delivery (teaming, contracting and invoicing, admin and logistics, implementation and close down) as well as management briefings, copy editing, data visualisation and report drafting. [FOXTAIL refers to Integrity’s portfolio of work delivering reviews for the Independent Commission for Aid Impact (ICAI). It is made up of several discrete reviews or projects that run in a staggered timeframe.]
FOXTAIL
- Maintain a detailed knowledge of all planned and actual FOXTAIL work.
- Work closely with the FOXTAIL team including external stakeholders such as the commissioners, Secretariat and other members of the service provider consortium.
- Provide summaries, briefings and talking points to the Programme Director as required.
- Contribute to report drafting, editing, data visualization design and formatting. Quality assurance of select written deliverables. Research support on specific reviews.
- Ensure the smooth deployment of staff, consultants and resources through the procurement of flights, visas, letters of entry, consultant deployment checklists and movement of funds.
- Maintain the electronic project code list (on Podio), all project entries and managing specific Podio workspaces. Maintaining streamlined and well-organised electronic project folders on Dropbox.
- Manage consultant contracts, track delivery time and collate timesheets across the FOXTAIL portfolio and other projects or regions as requested. Liaise with consultants and clients to prepare and process timesheets and invoices.
- Support the financial administration of the FOXTAIL portfolio.
- Attend meetings, take notes and provide briefings where requested.
- Deliver on specific projects within the FOXTAIL portfolio, joining research teams on country visits, providing logistical and coordination functions and playing a key research role on literature reviews and desk studies.
DRC or another specific country portfolio
- Work closely with Integrity’s sponsors and project managers to ensure project delivery is timely and of a high standard.
- Support project implementation in DRC (or other country) providing logistical and administrative support (teaming, contracting and invoicing, consultant management, liaison with DRC partners, admin and logistics, implementation and close down)
- Provide briefings to the Executive and Senior management team where required.
B. Project Development Support (20%)
PO Gen will provide high quality support to project development, including risk management support:
- Liaise with the Operations Manager HQ and Proposal lead to support the production of project risk matrices.
- Input on project proposals as required, including liaison with consortium partners, background research, drafting and budget design.
- Assist with research into and preparation of project financial proposals and budget. Prepare internal budgets for planning purposes.
- Assist the Business Development team with consultant selection, interviewing and relationship management.
- Contribute to report drafting, editing and formatting. Quality assurance of written deliverables.
C. Resource Management Support (10%)
Support the growth of Integrity’s project portfolio through written project summaries, think pieces and commentaries, team sheets and relevant track records and working with the business team on drafting marketing material.
Education and Experience:
The candidate will have:
- A relevant Bachelor’s degree
- Minimum 2 years’ experience with an international organisation
Competencies:

- Demonstrable experience in coordination, logistics, IT, finance and admin
- Research skills
- Strong attention to detail
- Excellent communication skills
- Proven writing aptitude
- Degree level education
Languages:
- Written and oral fluency in English
- Fluency in French is highly desirable
